12th and 13th Week updates on Commonwealth Fellowship Programme

In last two weeks of fellowship program most of the time I was busy in writing reports. In between I have attended two presentation sessions. One is on “Citation Analysis” and “MS Project Management”. Also we had couple of meetings with mentor.

On August 19, 2014 we had a MS Project Management training by the tutor Kulvinder Kelsey. Microsoft Project is a software application by Microsoft that provides project management tools to manage projects. The program, which has many different versions, allows users to: Understand and control project schedules and finances, Communicate and present project, information; Organize work and people to make sure that projects are completed on schedule (MPG). Kulvinder introduces us to the important features of MS project, she explained us about how it can be used for the organizing work and how to control project in different level etc. She also shown few videos on working with MS project. The session will helps me to write project plans in effective way. Thanks to Kulvinder.

On August 20, 2014, I had a very interacting session with Mr. Robin Stinson on “Citation Analysis”. The outline of the session was: What is meant by citation analysis/ bibliometrics; Journal metrics; SJR, SNIP, Eigenfactor/ Article Influence; Author metrics (h-index, g-index, Publish or Perish); Google and Microsoft as sources and Alt-metrics to score social media. He has demonstrated the some of the important tools used in citation analysis.

 The tools are: Scopus; SCImago; Eigenfactor; Microsoft Academic Search; Google Scholar Metrics and Publish or Perish. He has explained in detail on how to use these tools to find out research output, journal rankings etc. The session was highly useful for me as I have already working on analyzing research out put in my institution. This session gave me lots of ideas about how to make use of open tools to do citation analysis. Thanks to Robin.

 

 

 

 

 

On August 26, 2014 we had meeting with the mentor Gurdish at SkillZone, LLS. We discussed many things about living system, governance and infrastructure in UK, India and African countries. This session helped to understand more about cultural diversities.

In the afternoon I had a special coaching session on “How to be successful in life” by Gurdish. Based on the answered questionnaire submitted by me, madam had interaction with me. She had given many inputs and action plans to reach my goal step by step. She had tried to do my SWOT analysis. She explained me in detail on using JOHARI window as coaching tool. She asked me to list out attributes based on the JOHARI window. She had guided me on how to expand area of self-awareness by shrinking hidden window, blind spot and unknown/undiscovered self/unconscious areas of mine.

Gurdish also explained how to make best time management. She had given many tips for time management. Based on the activity template, I am going to mange my time effectively. This session was very useful for me. It helped me to understand my strengths and weaknesses. Based on the coaching and tipis I have taken from the Gurdish, I am hoping to achieve further success in my life. Many thanks to Gurdish.

On August 27, 2014, I had a meeting with Steven and I tried to learn on how to use Google Analytics. Mean time we fellows met one of the visitor from Nigeria Yuwa Naps, Director, ICTA, Edo State and we had a detailed discussions with her on commonwealth fellowship, social and economical conditions of developing countries etc.

On August 28, 2014 we have attended the SAMSUNG GALAXY tablet demo. UEL is going to provide Samsung tablet to first year students. The name of the project is “Free Books Replacement Project”. Eda Ekwuozor, who is the in-charge of the project, has explained us about the project.

On the same day, Library had organized a farewell function for us. We had nice interactions with the Library staff, IT staff and Gurdish. It is one of memorable moment. We all thanked Library staff for their kind support, help and encouragement throughout our stay at the UEL.

 

 

 

 

photo(1)On August 29, 2014, we had a meeting with Professor Nora Colton, Deputy Vice-Chancellor, UEL. Gurdish introduced us to Nora and highlighted about the fellowship programme. We had given our feedback to Nora individually. Nora addressed us and highlighted about Library scenarios and the progress and functioning of UEL Library. She was appreciated the services of UEL Library. She also spoke about higher education system in UK and India. She mentioned that UEL is happy to extend the collaborations with Indian Universities for the mutual benefits. Meeting ended with the group photo. Thanks to Nora.

Fellowship: Eleventh Week Updates

​In the eleventh week we had couple of discussions with the mentor on “Project Plans”, visit to Birmingham Public Library and started writing our reports.
 
On 11th and 12th of August I had gone through the some of the the draft project proposals of UEL. These drafts are very helpful for me to write my future project plans for the better results.
 
On 13th of August, we all fellows along with mentor visited the Birmingham public Library as a part of study tour. Birmingham Public Library is located at Centenary Square, Birmingham. The library, which is estimated to have cost £188.8 million, is viewed by the Birmingham City Council as a flagship project for the city’s redevelopment (Wikipedia). It has been described as the largest public library in the United Kingdom, the largest public cultural space in Europe, and the largest regional library in Europe (Wikipedia), Quiet a lot to learn and take away from here .

On 14th of August I was going through the project proposals of UEL and I spent some time by thinking about writing the reports of fellowship.
 

On 15th of August we had a very interactive session with Gurdish on project plans. We tried to clarify many doubts which we had while writing a effective project. Madam explained the steps involved in the plan from the template of “Project Brief”. Some of the important aspects of project briefing are: Identifying key drivers; Objectives and Scope; Assumptions; Constraints; Deliverable’s/Desired outcomes;  Acceptance criteria/Key Milestones and Targets; University Strategic Framework; Departmental strategic objective; Impact etc. This session was highly useful for me as I learnt a lot on preparations and planning while writing a project.  I also understood that project writing should be systematic and scientific to get better results. Tenth Week Report of Commonwealth Professional Fellowship Programme

In this week we had a presentation on the role of Subject Librarians, Visit to Oxford Libraries, couple of discussions and review meeting.

August 4, 2014 (Monday)

In the first half of the day Mr. Robin Stinson, Subject Librarian (for Social Work, Psycho-social Studies, Sociology, Anthropology, ICT Studies, and International Development) had engaged us on detailed presentation and discussions on the role of subject Librarians in the UK and particularly in the UEL. Subject Librarians here are playing a significant role in the collection building, information skills training and academic liaison. They will be busy in inquiry desk duties, question point access, evening and weekend duties. Mr. Robin explained us on what are the steps involved in books ordering in UEL Library. It goes like this: Checking the reading list; ordering; making sure that the fund does not become overspent but the same time ensure that all the money is spent; checking the progress of orders and chasing up those orders of which are delayed with the suppliers.

In the information skills training, subject librarians offer training for both UG and PG students. They provide one-to-one training to help the students on how to write accurate assignments, references etc. using Cite them right. They also involved in creation of training modules, library assignments for students in association with the lectures. Library assignments were made available in the Moodle online. Subject Librarians will be liaising with the teachers and administration about the purchases, training sessions and innovation in the Library. They also involved in attending meetings of programme committee, school boards, teaching & schools committee. Subject Librarians also does stock reading every year.

At the end, Mr. Robin shown us the online Library assignments, annotations which have been offered to students. Thanks to Mr. Robin for engaging us and made us to understand the role of subject Librarians.

In the second half of the day I was busy in looking at the online Library assignments given to UEL students.

Visit to Oxford:

I got an opportunity to visit the world-leading centre of learning, teaching and research and the oldest university in the English-speaking world (ox.ac.uk).

First we have visited the Central Library of Oxford city. The Library is located in the centre of city with well connected transportation network. Important services offering by the Central Library to the public are: ebooks; e-audio; Films and Music DVDs/CDs; Books on other languages; Local study centre for family history resources; free wifi, self services; impressive children corner. etc.

Visit to Bodleian Libraries:

The Bodleian libraries offer integrated library services to the University of Oxford and comprises of nearly 40 libraries. There are major research libraries as well as libraries attached to faculties, departments and other institutions of the University. The combined collections of Bodleian Libraries number more than 11 million printed items, in addition to vast quantities of materials in many other formats (Bodleian Libraries).

Bodleian Library is the University’s main research library and a legal deposit library. It is the second largest in the UK after the British Library. It has 120 miles of occupied shelving, 29 reading rooms and 2,490 places for readers (bodleian.ox.ac.uk/bodley).

manuscripts, but also for their buildings, some of which have remained in continuous use since the Middle Ages. Among them the Bodleian, the chief among the University’s libraries, has a special place. First opened to scholars in 1602, it incorporates an earlier library erected by the University in the fifteenth century to house books donated by Humfrey, Duke of Gloucester. Since 1602 it has expanded, slowly at first but with increasing momentum over the last 150 years, to keep pace with the ever-growing accumulation of books and papers, but the core of the old buildings has remained intact. These buildings are still used by students and scholars from all over the world, and they attract an ever-increasing number of visitors (Bodleian Library & Radcliffe Camera).

Myself and Rishi took a standard guided tour to explore more about the Bodleian Libraries. It is the fantastic tour and our visit covered the Divinity School, 17th Century Convocation House, Chancellor’s court room and Duke Humfrey’s medieval library.

Divinity School, built in 1488 for the teaching of theology. With its elaborately vaulted ceiling and its 455 carved bosses, it is a masterpiece of English Gothic architecture. 17th century Convocation House, where Parliament was held in the Civil War. Attached to convocation hall there is a Chancellor’s Court room. Duke Humfrey’s medieval library, still in use today, where generations of famous scholars have studied through the ages. Users of the Library, include five kings, 40 Nobel Prize winners, 25 British Prime Ministers and writers such as Oscar Wilde, C S Lewis and J R R Tolkien (What’s on).

It was a great experience to visit such a historical, outstanding library.

In the afternoon as per the scheduled we have visited the Bodleian Library of Commonwealth & African Studies (BLoCAS) at Rhodes House, South Parks Road, Oxford. BLoCAS was opened in 1929 and specialises in the history and current affairs, political, economic and social of the Commonwealth and sub-Saharan Africa including the offshore islands. The Library holds books, journals, theses, government publications and special collections  such as manuscripts, archives, special or rare books (bodleian.ox.ac.uk/rhodes). BLoCAS have arranged a special visit to his historic location to learn about the history of Rhodes House Library, the book and archive collections as it is relocating to the Weston library, oxford during September 2014.

Nine participants from the different institutions were on the special Library visit. Lucy, Archivist took us for Library tour and she explained the history, development and collections of BLoCAS Library. During the visit I got the opportunity to read the original hand written and typed letters of Mahatma Gandhi in the archival section of the Library. It was really a thrilling experience for me. Thanks to Lucy for taking us for a tour and Heather Dawson for arranging tour for us.

Then we have visited the exhibition on “The Great War: Personal Stories from Downing Street to the Trenches” in the premises of Bodleian Libraries. Its a good experience. In the evening we had  shopping in the Oxford town and returned to the London on the same day.

August 6, 2014 (Wednesday)

In the morning session I was going through the articles and ppts sent by Gurdish on “Case Study Report: York Collection Profile”, “Reinvisionning Library Spaces” and research support @ UEL.

In the afternoon I had a meeting with Mr. Yogendra Singh, Librarian, IIT Roorkee, India, he was on a visit to UEL for the discussion with Gurdish. With Yogendra, I had a discussion on Library scenarios in India in general and IIT Libraries in particular as compare to the higher education libraries in UK and UEL.  

August 7, 2014 (Thursday)

In the first half of the day I was going through the very informative slides sent by Gurdish on “Redefining the academic Library: Managing the Migration to Digital Information Services”. These slides gave glimpses of evolving appropriate metrics in the transformational information landscape; Journal cost crowding out books; library as a social learning space; opportunities ahead for libraries; leveraging E-books and shared repositories to reduce local holdings with the example of Hathi Trust; refining the purchasing algorithm; creating a broader range of options for scholarly communication; ways to encourage open access; smart allocation of library staff time; mobile information services at students’ fingertips etc.

In the afternoon we had a review meeting and discussions on Reinvisionning Library Spaces. In the discussion Gurdish gave many ideas on how should be the library spaces which are in support of current learning styles, communication styles. She explained with the example of pyramid. Also she has given examples on future spaces such a designing computer gaming labs with in the Library space etc.

Another topic she took for discussion was on influencing and persuading people whilst preparation of projects. Projects needs to be build based on the person not for the task to get positive results. She gave the hints on how to prepare projects for different kind of people: (i) Analyser – Here sanctioning authority will go by statistics, needs to build a rapport with the person; (ii) Task Drivers: They see out come or result of the project before apporval; (iii) Amiable: They expect detailed presentation with proper explanations; and (iv) Expressive: Needs to present in a inspired way with more energy levels. Contents covered in today’s discussions are very useful for us to understand the nature of people before going for projects presentations. Thanks to Gurdish for giving many ideas on reinvisionning Library Spaces, influencing and persuading people in a varieties of way.

The whole day I spent on reviewing this week work. After reviewing, recalling the happenings of the week, I started writing the tenth week report on blog. By the time I finished the blog report, tenth week of my fellowship got ended. Waiting for a nice weekend…!!!

Ninth week of fellowship programme was consists of writing and discussions on assignments, presentations by Subject Librarian, shadowing of  Library services @ UEL etc.

Monday – July 28, 2014

In the morning session we were busy in completing the third assignment given by Gurdish. The assignments are:  

1(a) Outline portfolio of library services you are offering currently. 

  (b) Outline future desired portfolio of library services you wish to offer. It could be demanded  

   by your management, user community or changing nature of the library itself. 

2 (a) List the current skill set of your teams 

   (b) List the future skill set you would require to deliver identified services in 1(b). 

In the second half, we had a last week’s review meeting with the Gurdish. All of us informed how much the contents of the copyright workshop will be useful for us. Madam highlighted about certain issues related to creative common licenses, how copyrights laws are being followed in UK etc. We also have given the feedback of our last week Imperial College visit. 

Later Gurdish has started discussion on issues related to Circulation, which had raised by Raphael. She told us about how introduction of auto renewals helped the UEL Library as a value added service, how customer satisfaction and usage had gone up. Also she mentioned how the shelving problem of huge number of books used to return during Christmas time had been solved. She also told about the cons of auto renewals. Some of the cons are: Books will be held up with only few users and new users may not get the visibility of books on shelves, fine income will be reduced, users may loose the book . At the end we had a discussion on next batch of Commonwealth Fellowship Program in which Gurdish is switching over from Library Science with IT professionals due to her change in responsibility as a IT Strategist at the UEL. Updated the blog contents of last week. Had a quick meeting with the Gurdish in the afternoon at the Library.

Attended a presentation of Robin Stinson, Subject Librarian on the topic “Resources for Social Sciences” at the ECDL lab. He gave introduction to the PG level programs running at the UEL: MA in International Social Work; NGO; Refugees Study; areas cover in the School of Law & Social Sciences. He has demonstrated the areas in which databases available for the students and staff. Areas covered are: Anthropology; ICT on International Development; International Development; NGO Management; Psychosocial Studies; Refugees Studies; Social Enterprises; Sociology. 

Robin has covered some of the dissertation topics in Social Sciences: Humanitarian Aid & Children; American Hegemony; Postpartum Depriving & Teenage Mother; Diamond Mining in Sierra Leone; Transracial Adoption; Knife Crime; Child Poverty in Britain; Climate Change; Domestic Violence & Children; Colonialism & South Asia; Vulnerable Adults; Children Leaving Care; Youth Gangs in London; Domestic Violence & Children.

Robin has demonstrated the prominent resources meant for Social Science areas. List of those resources are: ABI/Inform; EBSCO Academic Search Complete; EBSCO GreenFile; EBSCO PsycArticles;  PsycINFO; JSTOR; NEXIS; Oxford Journals Online; PEP; Sage; ScienceDirect; Scopus; Taylor & Francis; Social Care Online. He also mentioned the other databases having access are: Government publications; Databases on Charities; Statistics and Social Trends. He made the points on how further assistances are giving to users. Few of them are: Subject pages from the Library and Learning web pages; Harvard referencing; Question Point (Online chat); One-to-one session. He explained on very useful online resource “Cite then Right”, which is the essential referencing resource. This online resource will help users to reference just about any source, and understand how to avoid plagiarism (citethemrightonline). Thursday – July 31, 2014         

The whole day I was busy I shadowing of info skills information and  cite them right online resource which are available in the UEL site. Info skills is very useful information source for all the students and staff of the University. It gives complete insight about the academic integrity, plagiarism, referencing, observing copyright etc.  On the other hand “cite them right” is a online resource for users to learn the principles of referencing. This resource helps students to find out the key concepts of common knowledge and plagiarism. After shadowing these two sources , I got an idea how to start similar services in my home institution.

Friday – August 1, 2014

In the first half of the day I have worked on the assignment “future desired portfolio of library services and skill set required to deliver desired library services”. 

In the second half we had a vibrant session with the Gurdish on portfolio of library Services and Skills and prioritization with BCG (Boston Consulting Group) Matrix. Each one of us explained about the services and skills mentioned in the assignments and Gurdish gave an idea that what services and skills suits to our work environment. Madam has made us to understand the pros and cons in developing new services and skills, what are the planning and initiatives are required. Whilst  discussing project she had given idea of using crowd sourcing method to start with and convert in to crowd funding. Also she gave an idea of having disposal policy for books and other materials in the Library. In the discussion I have got a many clues on having focus group, developing man power with diverse skills, using Deepdyve services for article purchases and YBP for books purchases. 

Then Gurdish has explained the basic concepts and structure of BCG matrix and she shown us how we can prioritize our portfolio of library services and skills to further planning and implementation. I got many clues on risk and impact of various library services which we offer and where low and high commitment is required. BCG matrix is a best model for prioritizing of experimental and developmental activities and work. At the end Gurdish explained us how to do activity based costing with the example.

This session is a very important and useful as we all tried to use our work experiences, skills and the knowledge we gained here to complete the assignments. The inputs we received from the mentor will definitely help us to develop need based services and skill set in our respective libraries in future. Many thanks to Gurdish. 

Our 9th week ended here. Looking for a nice weekend and planned to visit Science & History Museum @ South Kensington.

Visit to Wellcome Library:

In the forenoon, we all the four fellows along with the Gurdish, have visited Wellcome Trust Library and Bookshop.  Wellcome Library has varied collections on history of medicine since the birth of modern western medicine. Library collection includes contemporary images, films, manuscripts on medicine. The Library is using Encore Discovery Solutions (Innovative) and Global Patron Interaction powered by ChiliFresh (wellcomelibrary.org) .   

Visit to Commonwealth Scholarship Commission:

In the afternoon, along with our mentor Gurdish and other fellows, I have visited the Commonwealth Scholarship Commission in the UK, Woburn House, 20-24 Tavistock Square London. Huma Akhtar, Programming Officer received us and started discussion with us. Gurdish briefed the Huma about the progress of the fellowship program. Huma asked us to share our experiences so far with the fellowship program, each one of us described the contents coverage of the program, presentations, workshops and visits to different libraries and places in and around UK. We also shared our experience of living in London. Huma told us to continuously update the commonwealth commission about the impact of fellowship in terms of publications, projects achieved etc. I also informed the improvements which have been happened in me so far during fellowship. Huma informed us to join the commonwealth alumni for the future interactions and further development of the scholarship. At the end she informed us to utilize the rest of fellowship tenure in gaining more knowledge and apply  in your home country. Our meeting ended with group photo. Many thanks to Huma and Gurdish.

Visit to Victoria & Albert Museum and Imperial College of London:

First half of the day along with two more fellows, Rishi and Leena, visited the Victoria & Albert Museum. The Victoria and Albert Museum’s collections span two thousand years of art in virtually every medium, from many parts of the world, and visitors to the Museum encounter a treasure house of amazing and beautiful objects (vam.ac.uk). It’s a great experience to visit V&A Museum and got to know many things about past including Indian artefacts. Jewellery section of the museum is high catching and very impressive.

ImperialIt is one of my desire to visit world class, top rated University campus, the Imperial College of London. As per the schedule, we all four fellows visited to Imperial College Library, London. We were welcomed by Frances Boyle, Assistant Director of Library Academic Services, Central Library of Imperial College, South Kensington Campus. After having a tea Frances presented overview of Library Academic Services. In the presentation we understood the organizational structure of Academic Services team of the Library, Library services offered, tools and technologies being used. Also she explained us how the Library is part of Electronic and blended learning, how Library is enhancing students experience in terms of service-support-space. Library of the Imperial College is trying hard to develop and delivering teaching, learning and research support services. Strategies using by the Library for continuous improvement: (i) Team meetings; (ii) Developing a new strategic plan in the midst; (iii) Mapping teams plan to operational plans; (iv) Groups for functional, marketing, website steering, user services, information steering, projects and task & finish. Frances also highlighted us on open access resources, advocacy, social media, research 2.0, RDM, IPR issues, testing and evaluating new resources, managing Library budgets, E-content initiatives. She also had discussions on: Ask – Web based enquiry services; Alma alive, development of apps, critical appraisal, discovery tool (Primo), Institutional Repository (IR), Reference Management Tool (End note). Imperial 4

In the second session Katharine Thompson, Chemistry and Environment Librarian made a presentation on “The life of a liaison librarian: What is Faculty Support? What do liaison librarians do? and What does the future hold?. She has also highlighted on copyright, resources for Chemistry teaching and research. Katharine explained on research skills required, reference management tools, current awareness services, relationships with the administration and Library search skills. She also pointed out thatImperial 2 the future of Libraries are with collaborative partnership/learning, metadata, curation, discoverability study. Interestingly Library of Imperial College is educating and training the new Library users by conducting quizzes.  

After having a group photo session,  Sharona Rowe, Executive Assistant to the Library Directorate took us for Library Tour  to show how users access study spaces and physical stock. Some of the Library spaces especially group study rooms are very impressive. Many thanks to Frances Boyle, Katharine Thompson and Sharona Rowe for their time, sharing knowledge and kind hospitality throughout our stay at the Library of Imperial College.

Workshop on Copyright – Room US.1.12 @ USS Campus, Trainer: Naomi Korn from Naomi Korn Copyright Consultancy

We have attended one day workshop on Copyright, Digitization and OER at the University Square Stratford. Along with us there were nine more participants from Imperial, Kingston, University of West London etc. In the first session trainer Naomi Korn has given introduction to copyright with simple examples. We have been divided in to 4 groups. In the first exercise Naomi asked us to answer the ten questions which were meant to test our basic copyright skills. The next session was copyright brain drain. Each group had thorough discussions before answering and all the groups were scored nine out of ten. She explained us the very important concepts on what does copyright protect, what are moral rights etc.  

The next session was on copyright and the new laws. She had discussions on UK’s exceptions and limitations to the exclusive rights. In the discussions, she had highlighted the general exceptions and limitations such as fair dealing for non-commercial research or private study, for the criticism and review, for the purposes of current news reporting, data or text mining and also for the purposes of illustration for instruction.  After the tea break we had group discussions on various scenarios of copyright especially on the various ways that content can be protected on the web, IP related issues. Naomi also explained currency of copyright laws, copyright as a intangible asset, she also discussed on patents, trademark, moral rights, performer rights, etc.  

In post lunch session, we had given the group task on orphan works scenarios. Each group had been given to answer set of questions. The questions are based on historical photographic prints, mass digitization project and community website. After that Naomi had detailed discussions and clarified our doubts. She also given another important task on “Works in Copyright”, i.e., what does copyright protect. Before assigning this task, Naomi asked the participants to display all the copyrighted items on the table. Participants dropped their cell phones, maps, newspaper, book, photo etc. to describe the works in copyright. There are eight types of works on copyright. They are: 

(i) Artistic Work (design, map, painting, logo etc); Life time + 70 years in UK

(ii) Typographic; 25 years in UK 

 (iii) Music; Life time + 70 years in UK 

 (iv) Film; Life time + 70 years in UK 

 (v) Sound Recording; 70 years in UK 

 (vi) Dramatic work; 70 years in UK 

 (vii) Broadcasting; 50 years in UK 

 (viii) Literary work (published and unpublished) ; Life time + 70 years in UK.

 Some more points discussed by Naomi are:  

 (i) Copy and use of extract of works by educational establishments (CLA/NLA licenses) 

 (ii) Library privilege copying to individuals (S42-43) 

 (iii) Library privilege copy for other libraries (S41-42) 

 (iv) Library/Archival permissions (S42) 

 (v) Making works available through dedicated terminals (S40B) 

 (vi) Text & Data mining – Big data 

 (vii) What we can except, quotation (S30).

In the last session trainer had discussion on Open Education Resources (OER). She has highlighted on E-licensing, developing and policy and procedures for OER, support champion, copyright group, knowing and optimizing new laws, mapping your policies with others. risk management etc.

Overall the workshop will helps me to understand the copyright laws better in Indian context and can create awareness among the community so that resources can be used effectively without violating the laws of copyright. Many thanks to Naomi Korn for having excellent workshop and thaks to Gurdish for organizing the workshop in a interactive platform.

UDEIn the first half of the day, I have updated my 8th week works on the blog. In the afternoon we had a presentation on “IT Coaching & Training Services” by Kulvinder Kalsey. The main aim of this particular session is to train us on the recently installed systems and cloud-based technologies in the UEL campus, the project is Unified Desktop Experience (UDE). We got to know the use of new tools such as OneDrive and Lync, which are very useful tools to carry out day to day works in different sites and by using different devices. Using this latest technology, staff and students can have faster access to their applications, they can do video conferencing, instant messaging via Lync. Users can access documents through office 365 any where any time. Kulvinder also played few videos on the use of this technology. She has also given practical test to install Chrome, create account for OneDrive, create document and share with other commonwealth fellows. For us it was a very good experience. This new applications saves staff time and they feel fun to work with.

Seventh Week of Fellowship Program

Our seventh week program went on well, had a vibrating one day workshop on “Public Speaking”, attended a presentation on Rosetta overview: Digital preservation event for libraries, discussions on Library restructures, shared data services, shadow library services etc.

The most awaited workshop on Public Speaking by Trainer Vince Stevenson took place in the University Square Stratford Campus. It was very interactive and vibrant workshop. The trainer was very impressive and thought us many skills required for a speaker. Gurdish was also part of whole day workshop training and she offered us necessary tips required for public speaking.

There were eight participants in the workshop. Trainer explained us that, there are three universal laws for public speaking:

(1) Its not what you say, its the way you say it: Effective public speaking mostly depends on body.language, eye contact, how we deliver values. Audience should feel that speaker is talking to him/her individually.

(2) Know your audience: Very important to know for what kind audience I am going to address, whats in it for them, always needs to ask questions.

(3) Plan, prepare, practice: Our speech should be planned well and prepared well, and needs practice for effective delivery.

In the first session, trainer made teams (two member in each team) and asked us to discuss each other about their name, birth, hobbies/interests, job title, if we win million dollar what you are going to do. We had given 10 minutes to discuss and asked us to speak on our discussions for about 2 minutes. After each of us finishes our talk, trainer used to point out where we were right and needs improvement. He has also given chances to other participants to comment on the talks.

Trainer described us about the art of pursuation with the help of Aristotle’s Rhetoric. Persuasion = Sinceriry  = Empathy. Aristotle’s famous definition of rhetoric is viewed as the ability in any particular case to see the available means of persuasion (Wikipedia). He defines pisteis as atechnic (inartistic) and entechnic (artistic). Of the pisteis provided through speech there are three parts: ethos (combination of character, personality, trustworthiness), pathos (combination of emotion, enthusiasm, conviction, belief, sincerity, passion), and logos (combination of logic, structure, coherence).

Professor Albert Mehrabian’s communications model

Mr. Vince has presented us the Albert Mehrabia’s communication model. As per Mehrabia’s findings, in speaking:

  • 7% of message pertaining to feelings and attitudes is in the words that are spoken.
  • 38% of message pertaining to feelings and attitudes is paralinguistic (the way that the words are said).
  • 55% of message pertaining to feelings and attitudes is in facial expression.

After the tea break, Vince has given us an another speaking assignment which is on ‘what would be your ideal job if you are not doing the current job and what you would like to do in future job’. Vince instructed us that our speaking assignment should consists of objective, supportive and constructive feedback’s. Every one prepared well and delivered speeches which were reviewed by trainer, Gurdish and participants as well.  

After the lunch Steve shown us the Julian Treasure (Inspirational Speaker) video for about 10 minutes and he asked us to observe Julian style of speech. It was a marvelous video, Steved explained us the important things behind Julian’s speech, how we can make use of the same to deliver better speeches. Later we had given another assignment of delivering inspirational speak. We all prepared well and delivered a speak for about two minutes. Each speech were carefully observed and reviewed by Steve, Gurdish and participants as well. 

Steve described us about 3 head resonators i.e., Nose, Mouth and Neck (quality of speech). He also told us that good speaker speakers from his/her lungs. Lungs are engine room for voice. Then he has demonstrated physical and vocal exercises for relaxation during speaking. Some of the exercises are: Deep breathing; Jaw movements; neck rotation; should up & down and rotation etc.

Workshop on Public Speaking

He explained us about three important aspects of speaking: (a) Purpose (inform, educate, motivate, inspire, persuade); (b) Pathos (enthusiasm, sincerity, conviction); (c) Structure (beginning, middle & conclusion, he has given the example of TV news). At the end we were asked to speak on spot. For this even topics were given by participants. I got the topic to speak on Golf.

Overall workshop was excellent. We got many clues and ideas, about how to improve and develop our public speaking skills. Many thanks to Steve and Gurdish.

Wednesday – July 16, 2014

We all four fellows went together to attend a Rosetta overview – A digital preservation event for libraries. As soon as we reached CILIP head quarter, 7 Ridgmount Street , London where ExLibris office is located, Alex Follett, Key Account Manager, Ex Libris welcomed us and took us to presentation area. We have been introduced to the other ExLibris colleague. Two more professionals from other Institutions of London were also joined the presentation. Presentation took almost two hours followed by discussions.

Rosetta is a a new way of Preserving Cultural Heritage and Cumulative Knowledge. Rosetta has got some of the important features for digital archiving. Prominent Libraries across the world are using Rosetta for the preservation of knowledge and digital asset. The session was very interactive, we got many ideas about digital preservation using of Rosetta. I have requested Alex and his colleagues to set of a trial use for our institution. I tried to understand more about JISC (Joint Information Systems Committee). JISC was established on 1 April 1993 under the terms of letters of guidance from the Secretaries of State to the newly established Higher Education Funding Councils for England, Scotland and Wales, inviting them to establish a Joint Committee to deal with networking and specialist information services. JISC was to provide national vision and leadership for the benefit of the entire Higher Education sector. The organisation inherited the functions of the Information Systems Committee (ISC) and the Computer Board, which had served universities. An initial challenge was to support a much larger community of institutions, including the ex-polytechnics and higher education colleges (Wikipedia)

We had a interactive session with Gurdish on Library restructures, shared data services, consortium, research data management and so on. Gurdish highlighted on what is the current role of Library/information managers, what were the Library structures in the past and present and how to  restructure the Libraries in line with the changing scenarios, how to do succession planning.

She explained the activities and functions of SCONUL and JISC. We also had discussions on shared data services. Madam informed us about how research data is procuring and made available in UEL for future researchers. I tried to compare the Indian consortium’s with JISC functions. Gurdish made us to understand the structure and activities of consortium here. Overall it is very interactive and thought provoking session. Thanks Gurdish.

Later I had one to one session with Gurdish on Job description. This discussion was based on the job description assignment which I have submitted for the post of “Learning Resource Manager” at South Essex College. In many cases I have written job description as a statements. In UK, it is must to provide evidence based job description in order to short list for the new jobs. Gurdish made me to understand on what are all the parameters I am lacking and how to improve. Overall the session was very interactive and I got many clues and ideas on writing job description. It definitely helps me to plan and implement similar kind of recruitment process in my home organization.

Sixth Week of Commonwealth Professional Fellowship Program

Our sixth week fellowship programme was comprising of One day workshop on “Developing Leadership” and visits to Manchester Libraries.

We four commonwealth fellows and nine UEL IT staff, were the participants of one-day workshop on “Developing Leadership” conducted by Fiona McPhail, Chartered FCIPD (McPhail Watmore Associates Limited).

 The interactive workshop begin with the understanding of natural leadership, impact of different styles on achieving goals. Workshop participants were divided in to 3 groups. The trainer Fiona asked each group to define leadership. Some of the definitions came out from the group of participants were:

 Leadership is: Organized and structured way of doing the things; One who Motivates, One who does task oriented act; Serve people as a team player; Working in a group with integrity; Inspirational; Listener; Somebody who live by example; The one who delegate tasks; The one who takes responsibility. 

The second task were performed in stages. In the first stage we were given to identify three things: 

  1. Think about good Leader in our memory.
  2. What leadership qualities they had.
  3. List the attributes that they have

Interestingly participates were came out with different names, some have mentioned their head of the institutions as their leader, some have mentioned that their research supervisors and few of the participants have remembered their friends as leader.

The leadership attributes came out during the discussions are:

The person who is: Pushing positively to excel; Acknowledging creative growth opportunities; Tolerant; Supportant; Approachable; Good Communicator; Practical approach; Responsible; Timely result oriented; Gives experimentation; Having positive attitude; Having constructive ideas; Mentor.

In the second stage we were asked to:

  1. Think about a good leader in the society
  2. List the attributes that they have
  3. What is inspirational about them

Some of the names of leaders came out during the discussion were: (i) Mahatma Gandhi; (ii) Alan Michael Sugar; (iii) Margaret Thatcher; (iv) Fidel Castro; (v) Nelson Mandela; (vi) Mother Teresa;  (vii) George Washington; (viii) Barak Obama.

After thorough discussion we have concluded that Thatcher, Sugar and Castro were visionary, stubborn and autocrat leaders. Gandhi, Mandela and Teresa were peaceful, humble, sacrificial, humanitarian and trustworthy leaders and where as Washington and Obama were classified as democratic, inspirational, strategic and visionary leaders.

In the next session Fiona teached us about the common styles of leadership i.e., (i) The Autocrat; (ii) The Abdicrat and The Democrat.

Generally, Autocrat style of leadership will be undervalued, resentful, de-motivated, child minded with the typical behaviours of disagreement, compliance without conviction, striking. Autocrat leadership discourages open communication, poor organisation practices, saps self confidence and much scope for self development.

The Abdicrat leadership will be with poor direction, lack of involvement, uncertain, frustrated, insecure, disillusioned. The behaviours of Abdicrat leaders will be leathargic, wary, uninvolved and lack of commitment.

The next leadership style is “The Democrat”. This style of leadership will be having considerable participation and involvement by both the parties. Here both the parties guide, support and encourage the team members. In this style of leadership, staff will be valued, encourage, motivated, challenged and the work behaviour of this style will be creative, enthusiastic, participative and committed. 

 In order to measure team performance and to identify our own performance as a leaders we were given a small project and few tasks to perform. The small project was to build a structure with a given stationaries. The next task we had given to perform was to identify our preferred team role. This scoring points task helped us to identify our different behaviours as leaders. Some of the role we performed were:

  1. What I believe I can contribute to a team?
  2. I have a possible shortcoming in teamwork: It could be that:
  3. When involved in a project with other people?
  4. My characteristic approach to group is that:
  5. I again satisfaction in a job because:
  6. If I am suddenly given a task with limited time with unfamiliar people:
  7. With reference to the problems to which I am subject in working in groups.

Based on the above parameters, we could able to identify our team roles as: Company worker (stable, controlled); Chair person (stable, dominant, extrovert); Shaper (anxious, dominant, extrovert); Plant (dominant, high IQ, introvert); Resource Investigator (stable, dominant, extrovert); Monitor Evaluator (high IQ, stable, introvert); Team Worker (stable, extrovert, low in dominance); Complete finisher (anxious, introvert).

Another task we performed was “Improving Individual Motivation”. This task was on ranking on the 10 points scale of the factors which are important to our jobs; factors concerned when on job; most important factors when going to a new job; factors you like most in a job and so on. We also tried to understand the Maslow’s hierarchy of needs for motivation, factors affecting motivation, motivation in practice and so on. The trainer also explained us about the transactional analysis, contracting, ego states (parent, adult and child ego states).

In the last one hour of the session we were given the job of testing the Leadership Challenge. We have selected the leadership challenge option of “A significant change which will impact on staff and students across the University” and done the task successfully.

 We all four Me, Rishi, Raphael and Leena started our journey to Machester from Upton Park. From  London Euston we took Virgin Train to Machester Piccadilly. Around 1:00 PM, we have checked in the Holliday Inn Express, located in Oxford street which is very close to the centre of Manchester city. On the same day we have visited Art Gallery, Town Hall of Manchester and had a little shopping at Arndale Shopping Centre.

Visit to the Library, University of Salford, Manchester:

As per the schedule, along with our mentor Gurdish we arrived at the The Library, University of Salford, Manchester. The University of Salford is a Public University located in Salford, England, approximately 1.5 miles west of Manchester city centre. Its origins come from the Royal Technical Institute, Salford which was opened in 1896 (Wikipedia). We got a very warm welcome from Julie Berry, University Librarian and staff. Julie has introduced us to the the Library with the detailed powerpoint presentation. She has highlighted about the origin of University, spectrum of students, staff, colleges and schools associated with the University. She briefed us on Library Organogram along with the responsibilities of  senior Library team. The senior team consists of two associate University Librarians (One is looking after Library services and another dealing with Learning and Research support) and the Head of Library Business (Planning & Quality). She explained us the what is the main responsibility of the Library in the University in-terms of services, systems, activities,  programmes and learning spaces. On campus there are three physical libraries: Clifford Whitworth (main Library, opens 24/7/52), Adelphi (music, media, performance, art and fashion), Media City (Modern Digital Library with a focus on shared student support desk and creativity).

Julie has highlighted Library statistics of turnstile entries, Library budget, staff and FTE. She has also explained about collections, resources and services. Salford Univ. Library is using SOLAR (Management system of virtual/digital knowledge & resources powered by ExLibris). Library has got USIR (Institutional Repository) having 8635 deposits with a 1,105,120 downloads so far. She also briefed us on Reading list strategy and policy, Archives and special collections. We also got to know the various steps of Library induction programme for students. From the presentation we came to know that, Library has awarded “Customer Service Excellence Award” in 2012, 2013 and 2014 for 100% compliance. Very interestingly Library is using different feedback gathering methods to develop & improve the library services, resources and facilities. Few of the methods are: 

  • Online feedback form on website
  • Comment cards within libraries
  • Training session online evaluation forms
  • Attendance at School Committees
  • APMER follow ups
  • National Student Survey
  • University Student Experience Survey

At the end Julie thrown the light on Academic support services such as student information & digital literacy, support for research (EndNote Training, Literature Review, IR, SPoRT, Supervisor Support), student engagements and current priorities of the Library in improving the value and impact of services, Reading list project, support for University collaborations, partnerships and international priorities, Student & research support.

We had a Library tour then we came back to conference room for the detailed presentations by Regina Ferguson on Collection Development, Mr. James Allen on E-Books, About Digital Library and Library Analytics by Angela Walker and Jenny McNally. All the presentations were very good and I got many clues on modern library and learning services and management. After having a delicious lunch with Julie Berry and Library staff, we had a group photo session.

In the second half of the day as per the schedule program, we have visited the Salford Media City Library. MediaCityUK is a vibrant place which is meant for live work, socialise and study. Media city is the home to major BBC and ITV departments, the University of Salford and over 80 businesses across the creative and digital sectors, MediaCityUK is recognised as one of the most innovative developments in Britain (http://www.salford.ac.uk/mediacityuk). Nicola Haworth took us around the Media Library which is the UK’s major new hub for creative, digital and media sector consisting of ‘The Egg’ Suite and Gallery, Digital performance Lab, Creative studio spaces, Meeting, lecture and board rooms, Conference services. Through out the media centre we can find ultra-modern technologies adapted.

Visit to the Libraries of University of Manchester, Manchester:

In the University of Manchester (UoM), we have visited three Libraries. The University of Manchester is one of the reputed University in the UK. The Library of University of Manchester offers a range of specialised services. The Library has got more than 4 million printed books and manuscripts, over 41,000 electronic journals and 500,000 electronic books, as well as several hundred databases, the library is one of the best-resourced academic libraries in the UK (http://www.library.manchester.ac.uk/aboutus/). There are many libraries under the umbrella of University of Manchester: Main Library; Alan Gilbert Learning Commons; The John Rylands Library; Art and Archaeology Library; Braddick Library; Joule Library; Precinct Library; Stopford Library; Eddie Davies Library; Kantorowich Library; and Lenagan Library.

As soon as we entered the main Library of UoM, Lisa Donneley welcomed us and gave introduction to the Library, collection, range of services offered etc. Then she took us for the Library tour. During the tour I got to know that UoM Library offering range of specialised, tailor made research services. To name few: Manchester eScholar; Citation analysis; Open access at Manchester; Business data service; Research data management; Scholarly communication service etc. The renovated entry lobby of the main Library was very impressive and attractive.

 After the visit of main Library building, we have arrived at the most awaited place, i.e., The Alan Gilbert Learning Commons. This digital study and learning space is the state of the art centre in University with the boasting an onsite café, an impressive atrium providing a social meeting space and flexible study spaces and inspirational environments throughout the building. Halen welcomed us and took us for the tour of Learning Commons. We came to know from the Halen that the students were very much involved in the concept behind the landmark learning commons, its design and artwork. The learning common offer a stimulating and comfortable environment for study. We, all the fellows were very much impressed with the state of the art of building design, technology used and latest furnitures’ of the learning commons.

Zia Hong, Head of the Eddie Davis Library, Manchester Business School and the close professional friend of Gurdish had come to meet us at Learning Commons. Gurdish has introduced all of us to Zia. Then Zia took us for Eddie Davis Library visit. Eddie Davis Library is a Post Graduate Library which having separate finance zone and group study rooms consisting of specialist financial databases.

In the afternoon, we have visited the Manchester Public Library which is one of the best Public Libraries of UK. The Library is having state of the art, very impressive and attracting learning space with modern digital Library equipments and facilities. It has got comfortable seating and eye catching study environment for the publics. We have gone around all the four floors of the Library. At the end we had a meeting with the Gurdish in one of the meeting room of public Library.

After the Public Library visit, we had a delicious lunch at the Thai restaurant in the China town of Manchester. I would like to thank Gurdish for arranging, accompanying and guiding us during such a wonderful study tour of Libraries of Manchester. This tour definitely helps us to think and design innovative Library spaces and services in our home countries in near future.
